Policies and Procedures

NHHCA Educational Conference Registration/Attendance Policy

This policy is intended to include events where one or more of the following conditions apply:

  1. There is Exhibitor Space available for purchase
  2. There are Sponsorship Opportunities available
  3. There is limited seating available

The NHHCA’s Educational Conferences (including, but not limited to, Spring Conference & Fall (Annual) Conference & Trade Show) have educational components that are developed with long-term care facility owners, administrators, direct care staff and administrative staff in mind.  In order to maintain the focus of these educational programs and to assure the appropriate recognition and incentives for Businesses and Vendors who Sponsor and Exhibit at these events, the NHHCA has developed the following criteria for registering for NHHCA Educational Conferences.

Registrants MUST be:

  1. An owner, administrator, direct-care staff, or other employee of a long-term care facility or a Corporate staff member of an organization that owns one or more long-term care facilities.
    1. All employees of an NHHCA-member facility or corporate-level staff of an NHHCA-member Corporate Owner are eligible to register at an NHHCA-member rate, if available.
      1. Non-facility based businesses that fall under the corporate umbrella of a long-term care facility owner in the state will be treated as businesses and vendors as per criteria #3 below.
    2. All others are eligible to register at the non-member rate.
    3. Individuals who are paid consultants of the NHHCA may register at an NHHCA-member rate.
    4. Employees of long-term care facilities that are not located in NH will register as a non-member unless they are members of a State Association affiliated with the AHCA/NCAL, under which circumstance they may register as an NHHCA-member.
  2. If not a current employee of a long-term care facility, the registrant must be a Nursing Home Administrator licensed in the state of NH or another state.
    1. Other licensures/certifications will be considered on a case-by-case basis.
  3. Businesses and Vendors who do not fit the criteria above may NOT register for events unless the following criteria is met:
    1. If there is Exhibitor Space available, employees may register for the educational component of an event ONLY if the business purchases an exhibitor space OR pays the equivalent of an exhibit space in addition to the educational conference registration fee.
    2. If there is NO Exhibitor Space available, employees may register for the event only if the business is a sponsor of the event.  Unless otherwise noted, only one registrant is allowed per sponsoring organization and the registrant must pay the registration fee.
    3. If there is no Exhibitor Space NOR Sponsorship Opportunities available – Businesses and Vendors may register for the event, unless noted within the registration.
  4. Criteria 2a. above and all other situations will be evaluated by the NHHCA staff and/or members of the NHHCA Board of Directors, NHHCA Education Committee, and/or the NHHCA Development Committee.

Continuing Education Attendance Policy

The New Hampshire Health Care Association (NHHCA) is proud to offer quality educational programs and Continuing Education Unit (CEU) opportunities to the long-term care providers of New Hampshire. We genuinely appreciate your choice to attend our events and programs. We know that the time you spend attending NHHCA programs is valuable and we are committed to maintaining the integrity of the process by which we award CEUs.

As a provider of CEUs, NHHCA is charged with the responsibility of verifying that anyone receiving CEUs has attended the entirety of the program for which they wish to receive CE Hour credit. We take that responsibility very seriously and ask that all attendees cooperate with our efforts to accurately award CEUs.

The following are guidelines developed by the NHHCA Education Committee that we hope will further clarify our attendance policies.

Full vs. Partial CE Hour credit:

  • It shall be assumed that only *full CE Hour credit is available to program attendees unless the NHHCA program brochure explicitly indicates that **partial CE Hour credit is available for the program in question.
  • In order to obtain *full CE Hour credit for any NHHCA program, an attendee must ***attend the entirety of the program.
  • In order to obtain **partial CE Hour credit for any NHHCA program, an attendee must attend a minimum of 50% of the program’s advertised duration. If an event proctor sees a participant who is absent for more than a 15 minutes of a program, they will present that participant with a Partial CEU form.  The participant requesting partial CEUs will fill out a Partial CEU Request form and the NHHCA will collect this form at the end of the program.  The NHHCA’s Education Committee will review the requests and make a decision as to whether or not a certificate with partial CEUs will be offered to the participant.  The NHHCA will send CEUs to participants who were granted Partial CEUs and will contact participants who were not granted CEUs via E-mail.  Decisions and communication of those decisions will be made within 30 days of the event.

Definitions:

*Full CE Hour Credit – A quantity of CE Hour credit commensurate with the entire period of time in which a program takes place.

**Partial CE Hour Credit – A pre-determined quantity of CE Hour credit that is less than the entire period of time in which a program takes place.

***Attendance – The act of attending or being physically present in the room or space where and when a program is held.

Requirements:

  • If a program exceeds the originally scheduled time the NHHCA will make adjustments to the CE Hour credits to properly reflect the additional time the attendee spent attending the program (changes will be made to the scheduled time and to the total amount of CE Hours given for that program).
  • Signing up and paying for a program does not entitle one to CE Hour credits.
  • Signing in at the registration table does not entitle one to CE Hour credits.
  • Signing in at the registration table is a mandatory component of attendance verification.
  • Requests for CE Hour certificates to be mailed at a date later than the event date may be subject to a processing fee depending upon the volume and/or complexity of the request.

Cancellation and Payment Policy

Cancellation:

  1. Cancellations may be made in writing or by e-mail to orders@nhhca.org. Please be sure to include your facility or company name, the participant(s) name and title, the event/program title, the contact person and the contact person phone number.
  2. Cancellations must be made at least 5 business days prior to the program/event date to receive a refund minus a $25.00 administrative fee (unless otherwise stated on the registration brochure).
  3. Cancellations made with less than 5 business days of the program/event will not receive a refund.
  4. To be sure your cancellation is received and handled appropriately, please email it to orders@nhhca.org instead if an individual staff member.
  5. Participants who do not attend a program are not entitled to a refund unless prior written notice has been given to NHHCA as outlined in the policies above.
  6. Substitutions can be made at the event and must be noted upon registering. Substitutes will be required to fill out a substitution form as part of the registration process. Failure to complete and submit a substitution form will result in both the original registrant and the substitute being charged for the program/event.

Payment:

  1. The NHHCA will accept cash, check or credit card.
  2. Please make all checks payable to: NHHCA.
  3. Payment is expected prior or on the date of the program.
  4. Any payment not received by the date of the event will be subject to a late fee. Late fees are calculated as 25% of the per person/ item charge to attend unless otherwise indicated in the brochure.
  5. Any payments not made after 90 days will be subject to a penalty fee of 50% of the per person/ item charge to attend.
